Loss Prevention
It is far better to avoid and minimise losses than to have the inconvenience and frustra-tion of dealing with the problems resulting from loss and/or damage and having to pay higher premiums as a result of a poor claims experience.
Cargo Owners and Hauliers can do much to prevent or avoid losses by giving clear in-structions to their staff concerning the actions to be taken at the time of despatch and delivery of goods.
We have prepared these useful checklists to help our Customers
Checklist 1 - Cargo owner despatch of goods
- Ensure that the goods are adequately packed to endure the hazards that might reasonably be expected on the proposed journey.
- Use a bone fide carrier with a successful experience of carrying same of similar cargoes to the destinatation.
- If there are any special instructions with regard to the carriage or delivery ensure that they are given to the driver in writing.
- Always obtain a signed receipt from the driver ensuring that the signature is readable.
- Ensure that the vehicle, trailer or container is clean, sound and fit for the carriage of your cargo.
- Check rubber door seals, curtains are undamaged and fitted correctly check for damage, holes and suspect repair patches to containers and curtains.
- Fit seals to the vehicle and ensure that the number of the seal is recorded on the transit documents and on the receipt recived from the carrier.
Checklist 2 - Cargo owner receiving goods
- If fitted, ensure seals are intact and the numbers correspond with documentation.
- Check vehicle, container, trailer for damage, i.e. ripped or torn canvass curtain, rubber door seals, holes or suspect repair patches in containers.
- Ensure that the number of packages correspond with the documentation and that they are in good external condition.
- Always sign for goods received and make reservation on the delivery note if loss or damage is apparent or suspected. Make specific reference to the way in which the packaging and / or goods are damaged.
E.g " Wet stained", " Ripped and Torn", "Carton open part contents missing" etc. - Never sign for goods as "unexamined"
- Advise the sender and the carrier of any suspected loss or damage immediately.
Checklist 1 - Carriers contracting to carry goods
- Always draw the customers attention to the conditions of carriage that will apply.
- If request is verbal send a copy of the conditions of carriage to the customer as soon as possible after drawing them to their attention.
- Incorporate the conditions of carriage into all contracts to carry goods.
- Ensure that the conditions of carriage are shown in bold lettering on all documentation.
- Ensure all existing customers are notified immediately if conditions of carriage are changed or amended.
Checklist 2 - Carriers collection of goods
- Always check the load prior to signing the consignment note.
- If unable to check the load prior to collection make reservation on the consignment note to the effect that you were unable to check the load and why.
- Always ensure that the packing is adequate for the transit. If inadequate make a detailed note on the consignment note . If in doubt contact base and do not accept the load.
- Ensure any special instructions for carriage or delivery are in writing.
Checklist 3 - Carriers delivery of goods
- Deliver only to the address on the documentation.
- Deliver goods only to a person authorised to accept delivery.
- Always obtain a signature on delivery from an authorised person and their name printed
- Do not leave goods unattended outside of the consignees premises.
- Beware of Bogus consignees who trick drivers into leaving the goods outside the premises.
